Overview

SBM Management is searching for a Facilities Administrator! The Facilities Administrator provides technical support for an assigned process or product line by performing the following duties.

Responsibilities

  • Maintain procedures for maintaining controlled documents. Determine and enforce correct procedures through proper and repeated training. Maintain Document Control requirements in order for the department to meet internal and external needs such as FDA Inspections, Partner Audits and QC Audits. Evaluate and develop improved techniques for the control of documents.
  • Directly responsible for implementation and maintenance of the department’s document control system. Reporting on the performance of the document control system for review and as a basis for improvement of the document system.
  • Directly responsible for real time/daily updates on Insite Compliance Tool
  • All preparation and maintenance of facility cleaning logs in compliance with facility SOPs. This includes Daily, Weekly, Monthly, Quarterly, Annual, special requests and Disinfectant cleaning logs.
  • Print, organize, date, distribute and review cleaning logs/PM’s and Work Orders to the appropriate areas for janitorial staff to sign as cleaning is completed.
  • Collect the signed PM’s and Work Orders and review for errors or omissions.
  • If discrepancies exist, initiate a documentation correction process and communicate to site manager.
  • Confirm all work orders/PM’s are closed out by established deadlines.
  • Complete all necessary site-specific training.
  • Maintain training logs for all SBM Employees and send monthly updates to Site Manager and Customer Relationship Manager (CRM). Updated training logs need to also be uploaded onto InSite Tool.
  • Maintain all cleaning logs for inspections, reviews or audits.
  • Maintain cleaning log binders to ensure they are organized, accessible and neat appearance. Report any deficiencies to Site Manager and CRM.
  • Train new hires to sign and correct cleanings logs accurately according to GMP regulations.
  • Minimum 1x a month work with night lab crew to ensure behavior compliance is being followed through with regarding gowning expectations and processes/ procedures. Report findings to Site Manager and CRM.
  • Support the following Compliance Areas:
    • Safety Compliance as defined by SBM and Customer policies and procedures
    • Fire Extinguisher Compliance as defined by SBM and Customer policies and procedures
    • Safety Shower Compliance as defined by SBM and Customer policies and procedures
    • LMS training Logs as defined by SBM and Customer policies and procedures
    • Special Access Logs and Requests
    • Other Compliance areas as assigned by Site Manager
  • The Facilities Coordinator reports directly to the Site Manager for day to day activities and keeps the CRM updated at minimum with a weekly report. The FC has a support responsibility to all functional directors, managers and personnel.

Qualifications

  • Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.

  • Ability to write reports, business correspondence, and procedure manuals.

  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software.

  • Be able to read and write PDF files for SOP writing and reviews.
  • Have at least 2 years technical writing experience
